The Federal University of Juiz de Fora (UFJF) has improved the processes for analyzing income and socio-economic evaluation of incoming quota students. The changes, coordinated by the Pro-Rectorate of Systems of Data and Evaluation (Prosdav), aim to combine efficiency and effectiveness, with optimization of the workforce and reduction of the total duration of the checks.
Among the new strategies adopted by the University, the following stand out: the reduction in the number of supporting documents, from 41 to 19, in order to simplify the process; the creation of a single document for guidance on income analysis for admission and enrollment; and the intensification of communication with quota students in undergraduate courses.
Improvements were also made to the registration system, Siga X; reduced pre-registration deadlines, to enable faster analysis start; and authorized the use of income analysis for admission, by the Pro-Rectorate of Student Assistance (Proae), to expedite the process of student scholarship and aid applications. There is also the expectation of creating an onboarding program by Proae, offering temporary scholarships to incoming students with deferred enrollment.
According to the Deputy Pro-Rector of Prosdav, Michèle Farage, the diagnosis of institutional limitations and the proposal of changes were carried out in partnership with the Pro-Rectorate of Student Assistance (Proae), the Directorate of Affirmative Actions (Diaaf) and the Coordination of Academic Records (Cdara), which formed a working group.
This positive result is due to the measures adopted as a result of the discussions and analysis carried out by the working group. The significant increase in the number of applications deferred, already in the first analysis, favors the access of candidates who meet the established criteria, contributing to making UFJF increasingly inclusive. It is also worth highlighting the efforts of the technicians of the Center for Organizational Knowledge Management (CGCO), in improving the income analysis system of the SIGA, whose adjustments were fundamental to enable the implemented changes and to give greater speed and efficiency to the procedures carried out by the Coordination of Academic Records (Cdara).
The Pro-Rector adds that "with these improvements, the goal is to strengthen institutional articulation, making the processes more efficient, transparent and integrated. For students, this represents an important reduction in bureaucracy, facilitating access to support programs and ensuring greater speed in the admission and permanence processes at the University, which is fundamental for the democratization of higher education."
